Privacy and cookie statement
1. Who is responsible?
For data about players, guest players, training sessions and matches, the club or team organisation using SoccerAdmin is normally the controller. For technical platform privacy questions, contact privacy@socceradmin.nl. Questions about a specific team administration should first be directed to the administrator who granted you access.
2. What data is processed?
- account details such as name, email address, role and sign-in method;
- club, team, season and player details;
- training sessions, attendance, matches, selections, line-ups and scores;
- notes, ratings, match briefings, drawings and video links;
- availability and optional injury or illness information;
- calendar subscription events and technical synchronisation details;
- security and session data required to operate the application.
3. Why is this data used?
The data is used to:
- provide secure account access and enforce club and team permissions;
- manage training, matches, attendance, availability and line-ups;
- synchronise calendars and process match changes;
- provide reports and coaching support;
- prevent abuse and maintain a reliable service.
The club or team organisation determines the applicable GDPR legal basis for its team administration. Account and security processing may be necessary to provide the service or for the legitimate interest of keeping SoccerAdmin secure and reliable.
4. Health data
Injury, illness and availability information may be special-category personal data. Record only what a coach needs to assess availability, not a diagnosis or detailed medical record. Before using this feature, the club must determine both a valid legal basis and an applicable exception for processing health data. Access should be limited to people who need the information for their role.
5. Who may receive the data?
Data is available to authorised SoccerAdmin users within the assigned club or teams. OpenAI Sites, Cloudflare, ChatGPT/OpenAI and Google may be used for hosting, security and authentication. A club can add links to YouTube, Vimeo or other video services. External video is loaded only after a deliberate click.
Some service providers may be located outside the European Economic Area. The responsible organisation must verify the applicable transfer safeguards and processor arrangements.
6. Children
SoccerAdmin can be used for youth teams. Clubs must provide privacy information in clear language and involve parents or legal guardians where the chosen legal basis or context requires it.
7. Coaching support
The coaching assistant can combine available data into suggestions or points of attention. These are advisory: the coach remains responsible for the final sporting decision. SoccerAdmin does not independently make decisions with legal or similarly significant effects on a player.
8. Your privacy rights
Depending on the situation, you may request access, correction, deletion, restriction or transfer, or object to processing. You may withdraw consent you have given. Direct requests first to the club or team administrator who recorded your data in SoccerAdmin, and identify the relevant team and data as clearly as possible.
Additional identification may be requested to prevent disclosure to the wrong person. Never send a complete identity-document copy by email unless specifically instructed through a secure process.
9. Retention and deletion
Data should not be retained longer than necessary for the purpose for which it was recorded. Sessions expire after no more than 30 days. The club or team organisation sets appropriate retention periods for seasons, player details, notes and injury data, and deletes data when no longer needed unless a legal obligation requires longer retention.
10. Security
SoccerAdmin uses protected accounts, role- and team-based access, encrypted connections, hashed session tokens and encryption of secret calendar links. Administrators remain responsible for appropriate user permissions and promptly disabling accounts that no longer require access.
12. Contact and complaints
Contact the club or team administrator about data in a team administration. For technical SoccerAdmin privacy questions, email privacy@socceradmin.nl. You also have the right to complain to the Dutch Data Protection Authority.
